West Hill Community Support Program ("we," "us," "our") is committed to protecting the privacy of our clients, donors, volunteers, and website visitors. This policy explains what information we collect, how we use it, and who we share it with.

West Hill Community Support Program treats client and volunteer information as confidential. Personal information is accessed only by authorized individuals for approved service or administrative purposes. Information is not shared with outside parties without consent, except where disclosure is required by law. This policy describes our practices — no service or storage system can guarantee absolute security, but we take reasonable steps to protect the information you share with us.

Information We Collect

We collect information you provide directly to us, including:

• Contact details (name, email, phone) when you subscribe to our newsletter, sign up to volunteer, donate, or submit a partnership inquiry
• Government-issued identification, proof of address, and household-size information, collected only as part of client registration for Food Bank service — see the Food Bank page for what this is used for
• Vulnerable Sector Check (VSC) documents submitted by volunteer applicants, collected solely for volunteer-screening purposes
• Payment information processed securely by Stripe (we do not store your card details)
• Donation history

How We Use Your Information

• To process donations, including sending receipts and confirmations
• To register clients for Food Bank service and maintain accurate household records
• To screen volunteer applicants, including reviewing submitted Vulnerable Sector Check documents — these documents are restricted to authorized administrators and are never shared publicly or attached to routine notification emails
• To respond to volunteer sign-ups and partnership inquiries
• To send newsletter updates, if you've subscribed
• To improve our food-security programs and services

Third-Party Service Providers

We use the following third-party services to operate this site, each of which processes personal data on our behalf:

• Stripe — payment processing for donations
• Supabase — secure database and private file storage for donation, volunteer (including VSC documents), client-registration, and partnership inquiry records
• Mailchimp — newsletter subscriber management
• Resend — transactional email delivery (confirmations, receipts, notifications)

Data Retention

We retain donation, volunteer, and partnership inquiry records for 7 years, consistent with standard Canadian nonprofit financial record-keeping practice. Newsletter subscriber data is retained until you unsubscribe. Volunteer Vulnerable Sector Check documents are retained only as long as needed for screening purposes; authorized administrators can remove a document once it is no longer required.
